Position: Executive Operations Manager
Department: Executive/Economic Development/Public Policy
Primary Function: Organizes, plans, coordinates and administers a variety of administrative support functions for the President & CEO, the COO/Executive Director of Economic Development and the Vice President of Public Policy. Provides limited support for Economic Development personnel. Maintains and updates all files and documentation pertaining to the executive office and the economic development department.
Prepares all monthly Chamber and EDC board materials and reports, letters and memoranda.
Assists in yearly creation of budgets and is responsible for reviewing financial statements and expenditures each month, in conjunction with the CEO and COO.
Creates, enters, retrieves, updates and stores information in databases. Organizes, maintains and updates filing system, records, and reports. Manages office equipment and supplies, including software.
Provides support for economic development client visists.
Provides logistical support for the Intercity Visit, CEO gatherings, EDC announcements, and AVL 5x5 investor events.
Ensures proper distribution and disposition of notices, directives and related materials.
Coordinates and schedules meetings and functions. Assists with the coordination of the calendar for the CEO, COO and Vice President of Public Policy.
Takes, transcribes and distributes minutes including, but not limited to, the Chamber Board of Directors and the Economic Development Coalition for Asheville-Buncombe County Board of Directors.
Provides information and written materials to the public in accordance with procedures.
Processes routine matters independently disposing of some personally and/or referring others to appropriate personnel.
Maintains database of all registrations for programs and events. Retrieves registration information from website, takes payments and reconciles payments against attendance.
Manages computer software needs of the department.
Assists in other departments and performs other duties as needed.
